Networking message templates by tech role: SWE, PM, design, data, DevOps
A generic networking template — “I’m experienced and passionate about the role” — works equally poorly for everyone. Each tech function has its own signal markers: GitHub for engineers, portfolio links for designers, product write-ups for PMs, Kaggle / model cards for data scientists, system diagrams for DevOps. Templates tuned to those markers convert significantly better. Here are five role-specific template sets.
Part of our referral playbook.
Software Engineering (SWE)
What signals work
- Specific stack and years (Go, 5 yrs; React + TS, 4 yrs)
- Quantified impact (cut latency 40%, scaled to 12M MAU)
- GitHub link with relevant public repo or PR
- System-level claim (designed X, owned migration of Y)
Template — SWE to SWE
Hi [Name] — I’m a Senior Backend Engineer (Go, 5 yrs) applying for the [specific role] on your team at [company]. Most recent work: led the monolith → gRPC migration at [current company], shipped this retry library we open-sourced last year (1.2k stars). The JD mentions observability tooling — I’ve been deep in OpenTelemetry instrumentation for the last 18 months. Would you be open to flagging my application?
Product Management (PM)
What signals work
- Product area + customer segment (B2B SaaS dev tools, mid-market e-commerce)
- Quantified outcome (lifted activation 14%, drove $12M in expansion revenue)
- Specific framework or methodology (RICE prioritisation, Jobs to be Done, OKRs)
- Link to a public product write-up, conference talk, or LinkedIn post
Template — PM to PM
Hi [Name] — I’m a Senior PM applying for the Group PM role on Growth at [company]. 6 years across two B2B SaaS companies. Most recent work: led the activation funnel redesign that lifted week-1 retention from 41% to 55% over two quarters. Wrote about the framework here: [link]. JD mentions onboarding metrics ownership — that’s been my last 18 months. Would you be open to a quick refer?
Template — PM to engineering hiring manager
PM searches sometimes go through eng leadership. Different vocabulary applies.
Hi [Name] — applying for the Senior PM role on the platform team. I work closely with eng on roadmap and prioritisation, last 18 months were spent partnering with your equivalent of platform-eng on API versioning and developer experience metrics. Would value 15 minutes of your time if it’s possible — happy to come prepared with specific questions.
Design (Product Designer / UX)
What signals work
- Portfolio link, prominently (this is non-negotiable for design roles)
- Specific design system or methodology (atomic design, accessibility-first, motion design)
- Cross-functional impact (worked with eng on X, drove research that led to Y)
- Specific surface area (B2B SaaS dashboards, e-commerce checkout, AI/ML UX)
Template — Designer to Designer
Hi [Name] — applying for the Senior Product Designer role on the growth team at [company]. Portfolio: [link]. Last role was redesigning the activation funnel at [current company]; the case study on that work is project #2 in the portfolio. Strong interest in B2B onboarding specifically. Would you be open to flagging my application to the hiring manager?
Data Science / ML
What signals work
- Specific model classes you’ve shipped (recommender, fraud detection, LLM fine-tuning)
- Quantified business impact, not just model metrics (saved $2M in chargeback fraud, lifted CTR 8%)
- Stack — Python, PyTorch, vector DBs, MLOps tools you’ve used
- Public artefacts — Kaggle profile, papers, GitHub repos, model cards
Template — DS/ML
Hi [Name] — I’m a Senior ML Engineer (PyTorch, 4 yrs in production) applying for the role on your recommendations team. Most recent work: shipped a two-tower retrieval model that lifted feed CTR 7.2% at [current company]. Public artefacts: [Kaggle / paper / repo link]. The JD mentions cold-start specifically — that was my last 6 months. Would you be open to a refer?
DevOps / SRE / Platform Engineering
What signals work
- Specific tooling — Kubernetes, Terraform, ArgoCD, Crossplane, Datadog
- Scale you’ve operated at (200+ services, 10k+ nodes, 99.99% SLO)
- Incident response experience (on-call rotation, post-mortem authorship)
- Infrastructure-as-code repo or system diagram (public if possible)
Template — DevOps/SRE
Hi [Name] — Senior SRE applying for the role on the platform team at [company]. 6 years operating Kubernetes at scale; current employer runs ~200 services across 4 clusters, I own the autoscaling configuration and the on-call rotation. Wrote a public post-mortem on a 2026 incident: [link]. The JD mentions cost optimisation — drove $1.4M in annual savings last year via right-sizing. Refer?
What works across all five roles
- One specific role. “Any opportunity” reads as scattered.
- One link the recipient can verify your work at. Different per role, but always something they can click in 5 seconds.
- One quantified achievement that maps to the JD. Numbers are universal proof.
- Under 90 words. Length signals readiness; brevity signals respect.
What doesn’t work for any role
- “Passionate about [company]’s mission” — vague flattery is dismissed
- “Looking for new opportunities” — too general, signals desperation
- Listing every tool you’ve touched — pick 2-3 most relevant to the JD
- Skipping the specific role — “refer me anywhere” never converts well
Doing this at scale
ResumesTailor identifies the right contacts by role and seniority at target companies, drafts the outreach with appropriate role-specific signals from your resume, and tracks which templates convert best for your function over time.
